Pilots and flight attendants can import their flight schedule and pilot logbook from AIMS eCrew, as follows:

 NOTE

AIMS released a new version in 2022Your company may still be using the classic portal (AIMS eCrew), or have upgraded to the new portal (AIMS-v2 eCrew).  The new portal looks as follows:

Getting Started

Select the AIMS interface for your company from the Settings - Airline page. Here is a video tutorial how to getting started:

How to download your roster | CONNECT

Planned Roster

Press the "Get my Roster" button in your CrewLounge AERO mobile app.

The app connects online to your AIMS eCrew portal and downloads your roster from the Crew Schedule - Detailed (AIMS eCrew)  - Crew Schedule - My Schedule (AIMS-v2 eCrew) pages.  Flight details are limited to what you see on this page.

Choose "Quick 7 Days" to download your schedule for the next seven days, or "Get my Roster" to download your entire roster, as far as published. Notice that the download time for the full schedule is considerably long.

When "Quick 7 Days" is enabled, a "7" is displayed in the icon on the CrewLounge CONNECT app dashboard. You can short tap the icon to download your schedule for the next seven days, and long tap to download your entire roster. If you're not a fan of short and long taps, you can disable "Quick 7 Days" in the Settings - Airline page.

The HTML page in the CrewLounge CONNECT app shows the original Crew Schedule - Detailed (AIMS eCrew) - My Schedule (AIMS-v2 eCrew) roster that was downloaded.  You can also review your original HTML roster when the app is offline (no internet).

Historical Data

Press the "Download my Data" button in your CrewLounge AERO mobile app.

The app connects online to your AIMS eCrew portal and downloads your roster from the Crew Schedule - Brief + Detailed (AIMS eCrew) - Crew Schedule - My Schedule (AIMS-v2 eCrew) pages.

Depending on your company's server, you can go back many years in the past. As a general rule, anything you can see yourself in AIMS can be downloaded by CrewLounge.

Pilot LogBook Report

We recommend pilots to using the online Historical Data download feature to import your flying experience.  Due to the large amount of data that is retrieved from AIMS, the online download feature is limited to 3 months (AIMS eCrew) - only 1 month (AIMS-v2 eCrew) of flight data per session.

Alternatively, you can use the off-line logbook import feature, which has the following advantages and disadvantages:

  • you can import your whole flying experience in a single time
  • but, the logbook data is incomplete and may lead to duplicate pilot names (read "Important Notes")

Important Notes about the AIMS Logbook

  • If you receive a CSV file from the company ICT department, the file is NOT compatible with our import wizard!

  • The AIMS Pilot LogBook report is incomplete!  It does not have flight numbers, no scheduled hours, no takeoff and landing times, no names for Co-Pilot and Cabin Crew.  Pilot names are imported without a unique Employee ID, which may lead to errors or double records later on.

  • Combining the online Historical Data interface with the off-line CSV import is not recommended!

Since the Pilot LogBook report has no flight numbers, the import wizard will create fictitious flight numbers, typically "XX17" for a flight that departs at 5:20 PM = 17:20 = "XX17". When you import the same flight via the online import interface, where the real flight number is given, this will lead to double records in your database, e.g. flight XX17 from BRU to LHR, and again flight SN302 from BRU to LHR on the same day.

There is also an issue with double Crew Names, as the Pilot LogBook report does not have the Employee ID (e.g. 48357) or LetterCode (e.g. PBN) for the pilots, whereas the ID is imported with the online interface.  This again can lead to double crew in your Tables - Pilot list.  Use the Pilot Merge function to clean-up any doubles.

Read more about Pilot Merge on Page 30 of the User Guide (here).
